Privacy Poilcy
This document is to be read in conjunction with our Terms of Use. When you use our services, you’re trusting us with your information. We understand this responsibility and work to protect your information and put you in control. This Privacy Policy explains what information we collect, why we collect it, and how you can exercise your rights.
Some parts of this Policy apply to website visitors, others to Dashboard Account Holders, and others to people who register for or attend our events. Each relevant section makes clear which applies.
Who we are and our roles
For the website (www.andwider.com), &Wider B.V. is the controller of your personal data. We use carefully selected service providers, such as Squarespace for website hosting and Google reCAPTCHA for security, who act as our processors and process data only on our instructions and in line with data protection laws.
We also use third‑party providers such as Google (for analytics and advertising) and LinkedIn (for advertising) who set cookies on our site and may act as separate controllers for some of the data they collect through those tools, under their own privacy and cookie policies.
This Privacy Policy also applies to the &Wider Supplier Dashboard (“Dashboard”). If you register or use the Dashboard on behalf of a Supplier (a "Dashboard Account Holder"), &Wider B.V. is the controller of your own account and contact information (such as your name, job title and email address).
This Privacy Policy also applies to events hosted by &Wider. If you register for or attend one of our events, &Wider B.V. is the controller of the personal data we collect about you in connection with that event, including photographs and video recordings taken at the event.
Separately, where &Wider receives Workers’ personal data (such as telephone numbers or survey responses) from a Supplier or Client for the purpose of conducting a worker survey, &Wider processes that data as a processor on behalf of the relevant Client, under a data processing agreement between &Wider and that Client. This Privacy Policy does not describe that processing. Workers are given a separate data protection notice for that purpose.
What do we collect via the website?
When you register on our website, post a comment on our blog or contact us through our site, we collect the personal information you provide to us, such as your company name, email address and phone number.
&Wider uses automated tools to protect our website from spam, abuse and unauthorised access. These tools analyse information about how users interact with the website (for example, IP address, browser and device information, the page you are visiting and interaction patterns) in order to distinguish between human and automated activity.
These tools include Google reCAPTCHA, which processes information on our behalf solely for security purposes, such as detecting abusive access attempts and protecting our forms. No decisions with legal or similarly significant effects are made based on this processing.
What do we collect via the Dashboard?
When you register a Supplier account on the Dashboard, we collect the information you provide, including: Contact Person name; Contact Position and Contact Email. We also collect information about your use of the Dashboard, such as login activity and pages viewed, for security and administration purposes.
&Wider uses cookies and similar technologies. Cookies are small text files that are stored on your device when you visit websites. Cookies can be used to recognise your device, remember your preferences and collect information such as your IP address, internet service provider, approximate location data and the pages you visit. For more details on the types of cookies we use and your choices, please see our Cookies Policy.
Through cookies, we may also collect information about how you arrive at our website, which links you click, how long you spend on pages and which campaigns led you to us. We use tools such as Google Analytics to help us understand this information in aggregate and improve our site, and tools such as Google Ads and LinkedIn Ads to measure and optimise our advertising.
What do we collect at our events?
When you register for one of our events, we collect the information you provide, such as your name, email address, organisation and any other details you choose to share to help us host you.
We may engage a photographer to take photographs and short video recordings at our events. These may show you, for example, in wide shots of the room, in group photos or in conversation with others. We will let you know when photography is planned, and at the event we will offer a simple way to opt out, such as a sticker that signals to our photographer that you do not wish to be photographed.
What do we use your information for?
We use your personal information to:
improve the website and understand how it is used;
respond to your requests or enquiries;
send you emails about our services when you have provided your contact information, and it is appropriate to do so;
administer your Dashboard account and communicate with you about surveys and results (this applies to Dashboard Account Holders); and
organise and host our events, communicate with you about them, and share photographs and video of our events internally and externally, for example on our website, social media channels and other &Wider communications (this applies to event attendees).
For website security tools such as reCAPTCHA, we rely on our legitimate interest in protecting our website and services against spam and abuse. For cookies and similar technologies that are not strictly necessary, we will only use them with your consent, which you can manage via our cookie banner or your browser settings.
If you are a Dashboard Account Holder: the contract for use of the Dashboard is with the Supplier you represent. We process your personal data as Account Holder on the basis of our legitimate interest in administering that contract and operating the Dashboard, and, for security purposes, on the basis of our legitimate interest in protecting the Service.
If you register for or attend one of our events, we process your registration details on the basis of our legitimate interest in organising and running the event. We also rely on our legitimate interest in documenting and promoting our events when we take and use general images of an event, such as wide shots and group scenes in which no individual is the main focus. Where you are clearly the subject of a photograph or video, we will ask for your consent before using it outside &Wider, and we will not name or tag you without your permission. You can object to our use of event images at any time, and where we rely on your consent you can withdraw it at any time, by contacting us at info@andwider.com.
Where we use analytics cookies (for example, Google Analytics), we do so to understand how visitors use our site in order to improve content, navigation and performance. Where we use advertising cookies (for example, Google Ads and LinkedIn Ads), we do so to deliver and measure campaigns and, where applicable, to show more relevant ads to users who have consented to this.
Sharing data and international transfers
We share data with our service providers in order to deliver, secure, improve and enhance the website services offered. We require all our service providers to protect your data, process it only on our behalf and not use it for their own independent purposes, unless they clearly act as separate controllers under their own terms and policies.
Some of our service providers (for example, website and security providers such as Squarespace and Google) are located outside the European Economic Area, including in the United States. Where this involves a transfer of your personal data, we rely on appropriate safeguards such as the European Commission’s standard contractual clauses or other lawful transfer mechanisms to ensure your data remains protected.
Where third‑party advertising and analytics providers (such as Google and LinkedIn) receive data from our site, they may also transfer that data outside the EEA under their own transfer mechanisms (for example, Standard Contractual Clauses). Further details can be found in their respective privacy policies.
For our events, we share images with the photographer we engage, who acts as our processor and may only use them on our instructions. Images we publish on our website or social media will be publicly visible. Where we publish images on third‑party platforms such as LinkedIn, those platforms process them under their own privacy policies and may transfer them outside the EEA.
Your choices and rights
You can disable non‑essential cookies through the privacy settings on your browser or via our cookie banner. Please note that some cookies are essential for the website to function correctly and cannot be switched off.
Under data protection law, you may have the right to request access to your personal data, to ask us to correct inaccurate data, to request deletion, to restrict or object to certain processing, and to request a copy of your data in a portable format, subject to conditions set out in the law. You also have the right to lodge a complaint with your local data protection authority if you are unhappy with how we handle your data.
Requesting access to your information
You can request access to any of your personal data in writing (including email) to info@andwider.com. Please refer to our Subject Access Request policy for more details.
How long do we keep your data?
We keep website contact data for as long as necessary to respond to your request and for a limited period thereafter for security and record‑keeping, after which it is deleted or anonymised. Security‑related logs (including reCAPTCHA logs) are retained only for as long as needed to protect the website against abuse and to investigate incidents.
If you are a Dashboard Account Holder, we keep your personal information (such as your name, email address, phone number, username and role) for as long as your account is active. When your account is deactivated, we delete or anonymise that information within 30 days, unless the law requires us to keep it.
